Privacy at Folkvio

Your data, explained clearly.

Folkvio helps you meet people nearby. We need a small amount of information to make that work. This notice explains what we use, why we use it and the choices you have.

1. Who is responsible?

Folkvio is provided by Moonlabs B.V., Mecklenburglaan 23, 7315 DS Apeldoorn, the Netherlands (Dutch Chamber of Commerce no. 85706744). Moonlabs B.V. is the controller of the data described here.

For questions or a request about your data, email support@folkvio.app.

2. What data do we use?

The data we have depends on how you use Folkvio.

  • Account data: email address, securely hashed password, date of birth, language, account status and sign-in records. We only use a phone number if phone verification is available for your account.
  • Profile data: first and last name, age derived from your date of birth, photo, short bio, gender and languages.
  • Location and availability: the venue or area you choose, time of the check, accuracy and distance figures, availability window and selected activities. We do not retain a continuous trail of precise GPS coordinates.
  • Interaction data: invitations, acceptances, conversations, messages and anything you choose to share in them.
  • Trust and safety data: blocks, reports, report content and outcomes, and technical security signals.
  • App and device data: push token, device ID, notification settings, product use, technical logs, IP address and error information.
  • Meeting feedback: your answers and any optional comment after a planned meeting.
  • Website and venue data: traffic data through Google Analytics if you consent; for pilot enquiries, also your name, business email, venue, city and venue type.

3. Why do we use it?

  • To create and secure your account and provide Folkvio. This is necessary for our contract with you.
  • To confirm you are nearby, make you temporarily visible and show suitable people. This is necessary to provide the service.
  • To operate invitations, chats and push notifications. This is necessary for the service; optional notifications can be switched off.
  • To prevent misuse, handle reports and protect users and Folkvio. We rely on our legitimate interests and balance them against your privacy.
  • To understand and improve Folkvio, using aggregated or pseudonymised data where possible. We ask for consent for non-essential website analytics.
  • To comply with law or deal with legal claims where necessary.
  • To respond to a requested venue pilot, based on your request and our legitimate business interests.

4. How location works

Your phone determines your current location. Only when you choose to use Folkvio at a venue or in an area does the app send us a location check. The server does not store the raw GPS coordinates. It temporarily stores the confirmed venue or area, the time, and accuracy and distance figures.

Other people see only the venue or area in which you deliberately become available, never your precise position. A participating hotel or venue receives aggregated insights only, not information about individual guests.

Location permission in iOS or Android is a device setting and can be withdrawn at any time. Without a location check, features that need to confirm you are present cannot work.

5. Who do we share data with?

We do not sell personal data. We share only what is needed with:

  • other users when you make your profile visible, send an invitation or chat;
  • providers of hosting, databases, storage, email, SMS, push notifications, security and error monitoring that work for us;
  • Google for website analytics, but only after you consent;
  • competent authorities where required by law or necessary to protect someone;
  • professional advisers or a successor business during a reorganisation, subject to suitable confidentiality and safeguards.

6. Processing outside the EEA

We prefer processing in the European Economic Area. Some providers, such as push, analytics or error-monitoring services, may process data outside the EEA. If they do, we use a lawful transfer mechanism such as an adequacy decision or the European Commission’s Standard Contractual Clauses, with additional safeguards where needed.

7. How long do we keep data?

We keep data only as long as needed. Our main periods are:

  • presence verification: up to 7 days after expiry; availability and QR/entry sessions: 30 days;
  • invitations and closed conversations: up to 1 year; safety reports: up to 2 years; blocks after account deletion: up to 1 year;
  • used verification codes and expired sessions: 24 hours; revoked devices: 30 days; notification queue: 14 days; account-deletion audit: 2 years;
  • technical security logs: 14 days and security alerts: 90 days;
  • client product events: 6 months; server events and meeting feedback: 2 years; free-text feedback: 1 year;

8. Deleting your account and data

You can delete your account in the app via Profile → Account & privacy → Delete account. If you cannot use the app, start from the self-service page below. We first check the email address linked to your account.

We do not automatically ask for an identity document. Extra checks happen only if there is reasonable doubt about your identity.

Your profile is hidden immediately. Active sessions, availability and push notifications stop at once. A 30-day recovery period then follows. During those 30 days you can cancel deletion through the secure link in our email or by verifying again in the app. Signing in again is not enough.

After those 30 days we delete or anonymise your account data. Some information may temporarily remain for safety, reports or a legal duty. Section 7 lists the full retention periods.

9. Your privacy rights

You may ask to access, correct or delete your data, restrict or object to processing and, where applicable, receive a portable copy or withdraw consent. You can request a data copy in the app; we email it as a zip to your account address. You can also email support@folkvio.app.

  • Withdrawing consent does not affect earlier lawful processing.
  • You can complain to the Dutch Data Protection Authority or your local supervisory authority. We would appreciate the opportunity to address your concern first.
  • Folkvio does not make decisions with legal or similarly significant effects based solely on automated processing.

10. Website analytics and cookies

Our website uses essential technology to operate securely. Google Tag Manager and Google Analytics load only after you agree to analytics. They help us understand page visits and general traffic sources. We do not send form content, email addresses, precise locations or Folkvio user IDs to Google Analytics.

Account deletion and cancellation pages never load analytics, even if you previously agreed.

You can change your choice through “Cookie settings” in the footer. The website continues to work if you decline analytics.

11. Security and changes

We use appropriate safeguards including encrypted connections, protected storage, access controls, logging and scheduled deletion. No service is completely risk-free. Report a suspected security issue to support@folkvio.app.

We may update this notice if our practices or the law change. For significant changes, we will notify you in the app or by email. The effective date is always shown at the top.
